Event Organizer FAQ
Getting Started
- Log in or create a new account and then click on Host An Event
- Enter the following information
- Event Name – Name of the eventÂ
-  Event Type & Category – Genre of the eventÂ
- Online Event – Whether event is online
- Event location – Address for event venue
- Event banner – A image that potrays the theme of the event. Must be a JPEG or PNG no larger than 10MB. Images with at least 2160 x 1080px (a 2:1 ratio) works best.
- Event Description – Brief description of the event. If event is online, give attendees instructions on how they can join.
- Event Start and End date and timeÂ
- Event capacity – Total number of atttendees allowed for the event
- Attendee Infomration Collection type – ‘Buyer Only’ collect information of the single buyer.  ‘Each Attendee’ collect information of each attendee for each ticket purchased by the buyer.Â
- Attendee Information to Collect – Information such as the billing person’s name, address, phone and email are automatically collected during the booking check out process. You can also choose to add details such as Participants Full Name, Participants Email, Participants Contact Number by selecting it in this field. For additional custom data fields, please vsit Data Collection page.
- Paid Tickets: Click on the ‘+’ icon to add paid tickets. Multiple types of paid ticket can be added by clicking on the ‘+’ as required.Â
- Free Tickets: Click on the ‘+’ icon to add paid tickets. Multiple types of paid ticket can be added by clicking on the ‘+’ as required.Â
- Organiser Details: Chose from already created organisers or create a new organiser.
- Venue Details:Â Chose from already created venues or create a new venue.
You can add paid ticket by clicking on the ‘+’ icon which will allow you to add a single type of paid ticket. You can add multiple types of paid ticket by clicking on the ‘+’ icon as required.
You can configure the options below for your paid ticketsÂ
Ticket details:
- Ticket Name
- Ticket Quantity
- Ticket Price ($)
- Ticket Sales Start Date
- Ticket Sales Start Time
- Ticket Sales End Date
- Ticket Sales End Time
Ticket settings:
- Ticket Description (option to make it visible on event page)
- Fees Pay By (Public or Organiser)
- Ticket Visiblity (Public or Private)
- Minimum Tickets (allowed per oder)
- Maximum Tickets (allowed per order)
- Show Remaining Tickets
- Sold Tickets Individually (One ticket per customer)
- Ticket priority (ranking of ticket on the event page)
You can add free ticket by clicking on the ‘+’ icon which will allow you to add single ticket type. You can add multiple free ticket types by clicking on the ‘+’ icon as required.Â
You can configure the below for your paid ticketsÂ
Ticket details:
- Ticket Name
- Ticket Quantity

On the event submission form, there are two optional fields that can be configured to collect attendee information.Â
Â
Attendee Information Collection Type – ‘Buyer Only’ collect information of the single buyer.  ‘Each Attendee’ collect information of each attendee for each ticket purchased by the buyer.Â
Attendee Information to Collect –Â By default you can choose to collect the following information:
- Attendee Full Name
- Attendee Email
- Attendee Contact Number

Once an event is published on the site, you can edit and manage the event by visitng your Organiser Dashboard. Â
- ‘+’ Icon – Add a new event
- ical Icon – Download calendar file for events. Useful for online calendars.Â
- Filter Icon– Sort your event list
- Hamburger Menu Icon – View event summary such as date & time, location, number of times event page was viewed and number of registrations
- Pencil Icon – Edit the event
- No Icon – Cancel the event
- Copy Icon – Duplicate the event
- Bin Icon – Delete the event
Registration list can be viewed by visiting Check Registration page.Â
You can filter event registration list based on:
- Event
- Attendee Name
- Registration Status (New, Confirmed, Waiting & Cancelled)
- Newest first/Sort by Name
Registration list can be exported in .csv format by visiting Export Registration page.Â
- Submit the additional custom fields required.
- You can either continue creating your event and follow the steps from Already created events.
- ORÂ We will notify you via email and dashboard once custom fields are created (within few hours)
- You can then start creating your event and add the custom fields from ATTENDEE INFORMATION TO COLLECT options
- Attendee Information is collected at checkout
- Publish and share your event page
- Submit the additional custom fields required
- We will notify you once the custom fields are ready to be added to your event.
- Visit Event Dashboard and edit the event
- Add the newly created custom fields from ATTENDEE INFORMATION TO COLLECT options
- Save the change and share your event
Banking/Payout
You can update or enter new bank details to receive payout by visitng Bank Account page.
Bank Account can be updated as many times as required However the latest details will be used to send the payout.Make sure to have the correct bank account details before event expiry or any early payouts.
You can request an early payout before event expiry. Visit Request Payout page to submit an early payout.Â

Payout can only be taken out from received fund.Â
Â
Payout can be requested by entering:
- Transfer Request Amount – Amount to be paid to nominated bank accout
- Reference – Name for transfer.        Â
Funds are by default transferred 5 days after event expiry, this is so that any refunds can be settled within the timeframe.Â
Â
Any fund tranfer will take upto 5-10 business days to arrive in your nominated bank account.
Manage Bookings
Find a Booking:
- Visit the organiser dashboard.Â
- Click on Check Registrations tab or visit Booking & Refunds tab and click on Manage Booking
View Registration summary by clicking on the hamburger icon on the right beside the attendee registration

Note icon lets you add private note to the selected attendee registration.

Pencil icon lets you edit the registration status or delete the registration.

The ticket icon lets you download the PDF ticket for the selected registration.
Â
When a patron makes a successful booking, their tickets will be emailed to them. If they misplace their tickets or send them to an invalid email, you may need to locate their booking for them. Find a Booking lets you locate, review or re-email a specific booking.Â
Â
Find a Booking:
- Visit the organiser dashboard.Â
- Click on Check Registrations tab or visit Booking & Refunds tab and click on Manage Booking.
- Use download ticket option and email options beside the attendee registration to resend the ticket.
- Download the ticket by clicking on the ticket icon
- Click on the mail icon to send a mail and attach the PDF ticket to the mail.
- Send the mail to the attendee.
You can refund a customer’s booking in full, provide a partial refund or void tickets without providing a refund.
Â
As the event organiser, it’s important to process all refunds via Eventik so that there is a clear audit trail on the payment and refunds being issued. The processing fee is also reversed so that the customer receives the full value of the ticket and you’re not out of pocket for the transaction.
Â
- The ticket fee is non-refundable and will be charged again if your patron needs to repurchase. This is stated in the Eventik terms and conditions that the customer agrees to at the time of booking
- All refunds and voids are final. Once you have pressed OK you will not be able to cancel or reverse the refund process
- The customer will see the funds return to their account within 5-10 Business days.
- It is important to include your policy on refunds in your terms and conditions
- If the event has been cancelled, the event organiser is responsible for all refunds as outlined in the Eventik terms and conditions

Refund Tickets in Full
- Visit your organiser dashboard
- Click on bookings and refunds tab and visit Issue refund
- Fill out the issue refund form and submit your refund
- The refund will be processed and money will arrive in the attendee bank account within 5-10 business days.

Filling out Issue Refund form:
- Event Name:Â Name of the event in which attendee registered
- Number of refunds:Â process upto 5 refunds at a time
- Do you know the order number:Â order # are send to the attendee via email at the time of purchase and is located in the invoice email or on the PDF ticket
- You can find the attendee order # by downloading the PDF ticket from the registration list.
- If you cannot locate the order # you can select no in the above option, in which case you have to provide participants full name
- Booking fee:Â You can either chose to refund the booking fee in which case you will incur the fee in your invoice or you can refund by excluding the booking fee from the refund
Void Tickets without Refund:
Voiding a ticket will allow you to void or cancel the customer’s ticket, placing the ticket back on sale for repurchase, without providing a refund to the customer.Â
Â
- Visit the registration list page.Â
- Find the booking to void the ticket
- Click on the pencil icon beside the registration
- Change the status to cancelled.Â
- Save the changes.Â
- Booking is now void and no refund is issued.

No booking fee is refunded to the customer as per our Terms and Conditions.Â
Sales Report
Sales report page generates three types of report.Â
Â
- Sales Table: Show the number of ticket sold and the total income generated from sales
- Tickets Sold Table: Show the number of tickets sold per day
- Tickets Sold Chart: Graphical representation of the tickets sold per day
You can export the table view data in the following formats:

- ExcelÂ
- CSV
You can also print and copy the data from the table view
Sales table view is updated at irregular intervals throughout the day, the last updated time will be displayed above the table. Â

Tickets sold table and chart are updated live.Â
Â
Mobile App
You can download the mobile app called WP Event Manger from either Google Play Store or App Store.
Â
Eventik Partners with WP Event Manger to provide the best event management tool.
WP Event Manager is used by many organisations around the world to manage events in a safe and efficent way.Â
Â
For our users peace of mind, we don’t store any user or event data locally within the app but is stored in our Australian data centres according to the Australian rules and regulations.Â
Each organiser by default will have access to the mobile app using their uniquely generated access code.Â
Â
The credentials can be found by visiting the Mobile App Access page.Â
Â
The credentials inlcude:

API key: this is unique to each organiser so they can only access their own data.
If you have multiple check-in locations, each device used for check-in would require unique access credentials. For reporting purposes credentials cannot be shared during check-in.

Give team members access with unique permissions.
- Read permission enables to view registrations and status.
- Write permission enables to read, check-in and edit registrations.
The following features are available to all users of the mobile app.Â

Dashboard overview of current and past events.Â

By clicking on the event you would like to manage, you will be able to see overview of the tickets sold
Â
The attendee tab shows all the registered attendees and their registrations status. Within the tab you can filter attendees according to whether they are checked in or not

Guest List tab show the guest list created by the organiser
Â
Order tab shows all the orders created.
Â
Arrivals tab shows all the checked in attendees for all the event or attendees checked in using this specific device
Attendee data and check in status are synchronised real-time between all devices and web dashboard
Login into the app using the url & api key credentials

1. Name your device
Â
2. Click on the event you would like to check in the attendees.

3. Click on the attendees tab
Â
4. Either swipe right to check in without scanning the ticket or click on the QR camera icon on the top right of the screen to scan tickets and check in.
